What are staff codes and why do we need them?

Note: All Broker Management Systems that integrate with Pathway use staff codes, except SigXP. For more information on how to handle staff codes if SigXP is your BMS, make sure to read the dedicated paragraph at the bottom of this article.

Staff codes are designated codes within your BMS that represent members of the staff team. Each member has a unique code and is usually assigned to a segment of clients within the BMS. When Pathway initially syncs with your BMS it pulls the staff codes as part of customer and policy data. The information is stored within the client’s profiles in Pathway.

In order to utilize the full potential of the system and allow per-client personalization of the emails that you send out, it’s important that we add a staff list to the system and match the CSRs and PRD (producer) codes with the ones pulled from your BMS.

The staff list is a detailed database of all CSRs and producers in your brokerage who communicate with clients. It is used to create personalized signatures in emails. Pathway doesn’t sync the staff list automatically. It has to be uploaded and maintained manually.

For users of SigXP BMS

If you are a SigXP user, your broker management system doesn't use staff codes, however since this is a mandatory field in Pathway when you add staff members, you can make up code by combining the staff member’s initials and one digit. For example, the code you would create for John Smith would be JS1.

Because SigXP doesn’t have staff codes, we use an alternative method for matching CSRs and producers based on other data in your BMS, so please reach out to your CSM to get help on that process.
